KodiSpace ("we", "our", "us") respects your privacy and is committed to protecting your personal data. This Privacy Policy explains what information we collect when you use the KodiSpace mobile application and website (collectively, the "Service"), how we use it, and the choices you have.
1. Information We Collect
1.1 Phone Number
We collect your phone number when you create an account. We use it to verify your identity via one-time passcodes (OTP), to log you in, to communicate important account and tenancy notifications, and to enable landlords and tenants to contact one another where relevant.
1.2 GPS / Location Data
With your permission, we collect approximate or precise GPS location to show you nearby rentals, calculate distance to listings, and help landlords place pins on the map. You can revoke location access at any time in your device settings; some features (such as "near me" search) may then be unavailable.
1.3 Account & Profile Information
Name, email address, profile photo, government ID (where required for landlord verification or digital tenancy agreements), and any messages you send through the app.
1.4 Listing & Transaction Data
Property listings, tenancy agreements, scheduled visits, payments confirmations, and related metadata.
1.5 Device & Usage Data
Device model, operating system, app version, IP address, crash logs, and anonymised analytics events that help us improve the Service.
2. How We Store Your Data
Your data is stored on secure cloud infrastructure provided by Supabase(PostgreSQL database, authentication, and file storage) and Google Firebase(push notifications, crash analytics). Data is encrypted in transit (TLS) and at rest.
Servers may be located outside of your country of residence. By using KodiSpace you consent to the cross-border transfer of your data to these providers.
3. How We Use Your Data
- To provide, maintain, and improve the Service.
- To verify your identity and prevent fraud.
- To match tenants with relevant listings and notify landlords of interest.
- To generate and store digital tenancy agreements.
- To send transactional messages (OTPs, payment reminders, visit confirmations).
- To comply with legal obligations.
4. Data Sharing
We do not sell your personal data. We share limited data only:
- With landlords or tenants you transact with (name, phone, agreement details).
- With service providers (Supabase, Firebase, SMS gateways, payment processors) under contract to process data on our behalf.
- With Mapbox and Nominatim (OpenStreetMap) — your precise or approximate GPS coordinates are transmitted to these mapping providers solely to render maps and geocode addresses. Neither provider stores or identifies you personally. See Mapbox Privacy Policy and the OSM Foundation Privacy Policy.
- With law enforcement or regulators when required by law.
5. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data (subject to legal retention).
- Withdraw consent for location or notifications at any time.
- Lodge a complaint with your local data protection authority (e.g. the Office of the Data Protection Commissioner of Kenya).

6. Data Retention
We keep your account data for as long as your account is active. Tenancy agreements and related financial records are retained for up to 7 years after the end of the tenancy to comply with tax and contractual obligations. Anonymised analytics may be retained indefinitely.
7. Children
KodiSpace is not intended for users under 18 and we do not knowingly collect data from minors.
8. Changes to This Policy
We may update this Policy from time to time. Material changes will be communicated in-app or by email.
